Salary Range: Our salaries range from $56881.48 to $60041.56 and are based on qualifications and experience.

About the role
Join the Granville Island team in the Lease Coordinator position. In this role, you will provide lease processing, general lease coordination, administration and special project support services to the Leasing department. This includes responding to all lease inquiries, communicating with internal and external stakeholders, preparing listings and FAQ sheets, showing space, gathering and reviewing potential tenant information, drafting leases & verifying data with the finance department, database/file entry and upkeep, and supporting the Senior Lease Administrator and Leasing Manager in all leasing matters related to Granville Island.
This is a temporary position until December 19, 2025.
What you'll do:
- Prepare all letters and lease documentation for execution for review by the Senior Lease Administrator, including offers to lease, lease agreements, renewals, amendments, sublease & surrender documents.
- Monitor and track submission of lease and supporting documents, as they relate to new and existing tenant files.
- Monitor and respond to all incoming correspondence related to leasing and responding to inquires sent to the Granville Island website or email, via phone, email or by in-person requests; refer leads to the Senior Lease Administrator or Manager, Leasing.
- Maintain spreadsheets of tenant data including status of lease expiries and renewals.
- Draft letters and correspond with tenants as required.
- Maintain a database of potential leads and existing tenants with additional space requirement needs and requests.
- Support on special projects such as researching and analyzing industry related information for reference and use in regards to current market rates, existing tenant mix and offerings.
- Prepare materials for new lease opportunities (information gathering, brochure development, email blasts & website posting).
What you should have:
- A post-secondary education in an administrative, legal administrative assistant program or a property management licensing program.
- A minimum of 3 years of experience in lease administrative/coordinator role in a commercial property management setting and/or a legal administrative assistant/executive assistant role.
- Excellent written and verbal communication skills with the ability to effectively and professionally present information.
- Excellent organizational skills with the ability to complete tasks and projects accurately, efficiently and autonomously.
- Resourceful and has the ability to critically think and can anticipate obstacles and take action to minimize their impact.
- Basic knowledge of lease agreements and related documentation, including lease drafting and gathering supporting documentation.
- Strong interpersonal skills with an ability to easily communicate with existing and prospective tenants in situations requiring tact, judgement, confidentiality and sensitivity in diverse and sometimes complex situations.
- Intermediate or advanced skills and knowledge of Microsoft Suite, Adobe products & property management software.
