Role Purpose

 

The position of Assistant Events Coordinator will provide support to the Public Affairs & Programming Department in the conceptualization, planning, and production of  year-round Granville Island programming, and assist in the creation and development of new public events.

 

This is a 24 month contract.  Weekend and evening work is required for festivals and events taking place on Granville Island

 

What you will need

 

  • Minimum of 4 (four) years experience in event organization/management and implementation. Large public event or festival experience an asset.
  • Post-secondary training in events management, business management, arts administration or an equivalent background in work experience.
  • Strong organizational and project management skills with the ability to work on multiple projects under tight deadlines.
  • Experience with Microsoft Word, Excel essential. Familiarity with Adobe Illustrator, Photoshop, Indesign an asset.
  • Ability to work independently, simultaneously coordinating the “big picture”, while attending to details.
  • Strong interpersonal skills. Ability to motivate and enjoy working with people.
  • Strong communication skills (oral and written).
  • Demonstrated ability to work in a team environment and provide excellent client service

 

What you will do

 

  • Assist the Coordinator, Cultural Programming & Events, with activities related to the production of year-round programming and events taking place in venues and public spaces on Granville Island.  Duties include liaison with performers, crew and external cultural organizers, procurement of supplies and equipment, site set-up and strike, and administrative support.   The incumbent will help ensure that Island events meet the specified objectives and take place in accordance with planned schedules and budgets. 
  • Perform administrative duties associated with producing the events, such as procurement, filing, preparing performer agreements for approval and execution, and performer coordination.  The Assistant Coordinator’s work schedule will reflect the priority of being on-site for key events and will therefore require a flexible work week that includes weekends and shift work.  This may include attending partner events as pre-approved by the Manager.
  • Work in a team environment to develop new programming that enhances the festival culture on Granville Island, creating opportunities for the public to experience arts and culture year-round, both daytime and evenings.
  • Communicate with Granville Island staff, tenants, security, traffic control and event participants to provide event information and ensure smooth execution.
  • Provide physical production support when necessary, setting up and striking event materials such as tents & tables, building décor, installing signage, etc.
  • The incumbent will, as required, provide support for the following festivals and events taking place on Granville Island such as but not limited to: O Canada! Day on Granville Island, Lunar New Year, Vancouver International Children’s Festival, Vancouver International Jazz Festival, Wooden Boat Festival, Culture Days, Vancouver International Fringe Festival, Flamenco Festival, Vancouver Writers Festival, New Works Dance events, Winter Solstice.
