Associate, Correspondence (Position can be located anywhere in Canada)

Join the Chief of Staff Team, where we work with our Board and Government to promote effective decision-making. The incumbent is responsible for supporting the ministerial and executive correspondence function by triaging, coordinating and tracking all correspondence, drafting routine letters and ensuring quality control of products and adherence to established guidelines.


This is a temporary position of a duration of 12 months. 


Responsibilities: 

•    Receives and actions all incoming correspondence.
•    Monitors and tracks progress of correspondence dockets and produces regular and ad hoc, detailed and complex reports for various correspondence needs based on informed analyses for internal and external clients.
•    Drafts routine correspondence based on research, input from various sources, previously approved material and key messages responding to different business issues and CMHC programs and services.
•    Provides support through research and information gathering for quality control of final correspondence products before they are sent out.
•    Liaises with the Employment and Social Development Canada (ESDC) correspondence unit on issues such as deadlines, requests for clarification, and sending and receiving of ministerial dockets.
•    Proactively shares incoming correspondence with key individuals within the Corporation and ensures awareness of sensitive and political issues.


Minimum Qualifications
•    Undergraduate degree in public relation, communications, journalism, business marketing or related discipline.
•    Minimum of one year of experience, coordinating and tracking executive correspondences. 
•    Well-developed written and oral communication skills.
•    Ability to effectively manage multiple priorities.
•    Experience in the use of computers and reporting/tracking tools (Microsoft office).
•    Demonstrated professionalism and sound judgment when dealing with clients.
•    Bilingualism (French and English)

 

Preferred Qualifications
•    Experience in drafting written materials. Degree in communications, correspondence, press or a related field.
